Information is collected from the job and/or person specification you provide and from our notes on any telephone or in-person conversations about your organisation, the role and the qualities of the person you are looking to employ.

We may also provide candidates with further information about your company derived from other public sources such as research news websites or your own website or from other current or former employees that we have been in touch with.

How we use your information

We use the information we hold to advertise your roles, to assess the suitability of candidates and to brief candidates on the role and your organisation more generally.

When information is disclosed

The name of the potential employer is usually only provided to the candidate once the candidate is judged to have a genuine interest in the organisation and the role (typically by providing their CV) and the candidate also is considered as potentially suitable for the role.

Your responsibilities in handling candidates’ personal information

You will be provided with candidates’ personal information, including salary details, on the understanding that you will not share, disclose or discuss this information with anyone outside your organisation and only with people relevant to the hiring process within your organisation.

How we store your information

All organisational information will be stored subject to appropriate technical security measures.

These include password protecting the devices where information is stored and keeping paper documents in a locked cabinet when not in use.

How long do we hold your information?

Your information is held beyond its use in filling an immediate job vacancy in case you wish to recruit for further roles in future. We will periodically check with you to make sure our records are accurate and up-to-date.
